Germany’s leading medium-sized specialist retailer, for all things roof and facade construction, made a conscious decision not to go with an industry giant when it came to the reorganisation of its software for its entire financial system.

Efficiency for more productivity

Melle Gallhöfer Dach GmbH operates 50 locations across Germany from its headquarters in Neuss, North Rhine-Westphalia, and employs over 700 people. The company stands out for its expertise, service and its huge range of goods. It has 400 trucks on German roads delivering building material to customers. When it comes to managing and organising complex internal financial processes, efficiency is the key to success. In addition to a high degree of automation and the digitisation of central processes, the new corporate software from IGS Systemmanagement also ensures excellent information quality. For example, control-relevant key figures are available on demand. In addition, the software from the Austrian ERP experts impresses with a high level of integration and a modern look and feel.

Beating heart surgery

In coordination with the project team of Melle Gallhöfer Dach GmbH and the Wilsch Group from Grünwald near Munich, which is responsible for the hardware configuration, IGS planned a project implementation during ongoing operations and decided to completely transfer the accounting data for the current financial year – shortly before the turn of the year. At the same time, all historical accounting data was transferred to a modern database system. The defined goal was to be perfectly equipped for the annual financial statement, as well as for controlling and planning in the new financial year, by the end of the year. In terms of workflow, the cross-location process of incoming invoice verification was mapped for digital processing, from scanning to payment.

Networked thinking between project partners

Last but not least, the partnership between the hardware and software experts was decisive for the successful implementation of the project. It enabled an uncomplicated and quick exchange and thus enabled the project to be realised within the ambitious time schedule. It was also advantageous that the Munich-based Wilsch Group has been a hardware supplier to Melle Gallhöfer Dach GmbH for 20 years and therefore knows the customer’s IT landscape inside out. “Cross-divisional thinking is an important lever for the successful implementation of a sustainable project”, stated Mag. Marc Weginger, Managing Director of IGS Systemmanagement.

Only two months until the future

After successful tests of the data transfer, the financial accounting, asset management, balance sheet management and monthly reporting successfully went live within two months. At the same time, the entire incoming invoice process across all locations was digitised and highly automated with the interactive IGS workflow and document management, whereby the integrated mail service overtook the direct processing of electronic invoices. The integration goes so far that accounts can be assigned directly in the workflow using an intelligent book entry dialogue. Financial accounting is now highly automated, and you can drill down to the digital document at any time. Controlling is characterised by meaningful cost centre accounting and a profit centre model.
